Customer and Shipping Coordinator

At Oxford Instruments Plasma Technology, we provide tools for the engineering of micro- and nano-structures, with customers using our process solutions to research and produce materials and semiconductors vital for everything from medical devices and diagnostics, to electric cars and quantum computers.

In this role, you will be responsible for the day-to-day administration of service orders including spares, warranty and prioritising shipments. The role includes loading spares orders, supporting quotations, tracking progress ensuring all shipments are shipped to customer and service expectations.

Key Responsibilities:
Manage urgent customer orders through the business ensuring they are shipped in full to quality standards
Support in spares and warranty order administration including loading of orders
Manage Spares delivery, ensuring all shipments are within delivery targets
Act as a bridge between service and operations ensuring customers’ expectations are met and maintained
Support planning activities for all spares and warranty assemblies
Ensure Procurement lead-times are aligned with the planned shipments.
Ensure parts safety stocking levels are maintained, continuously reviewing stocking requirements based on recent demands
To support and follow up all service quotations with a view to closing orders.
Update customers and service staff on spares, warranty shipments
Work with regions, to ensure appropriate stocking levels are in place for install base
Obtain Voice of the Customer data and report on reasons of non-converted quotations with an aim to improving the conversion rate and customer service.
Where necessary resolve any customer issues in a timely manner.

Education / Qualifications:
Experience in a high technology and capital equipment business
Experience of team and project management.
Knowledge of commercial aspects of orders, and their impact on the business
Good knowledge of widely used software packages (Office, ACT!, etc.)
Knowledge and working experience of Export Control rules and regulations.

Professional Skills/ Abilities : Sales/commercially based understanding of Customer Relations. Time management skills. Problem solving skills.
